The project process

If you have received funding from the EUDP, this page has information about the project process and the forms you need for reporting etc. during the project.

A project with funding from the Energy Technology Development and Demonstration Programme will follow the process below:

  1. The EUDP Secretariat forwards a project agreement (previously referred to as a letter of commitment).
  2. Within one month, you have to sign and submit the project agreement and a project information form to the EUDP Secretariat. The form will be used to register the project in a database with all active and closed projects.
  3. The EUDP can then pay the funding. Funding is paid as a percentage of the costs incurred per participant in the project. Funding cannot be paid on account.

    You should use a payment form to request payment. Unless you agree otherwise, throughout the process you should use the version of your application budget applicable on the date of application. As a general rule, you should not update the budget for a project in progress.
  4. On 30 June of each year, you have to submit an annual report to the EUDP Secretariat covering the previous June-May period. You should use an annual report form.
  5. During the project, there will be follow-up on any conditions that apply specifically for the actual project.

    The Secretariat must be informed in writing if, during the project period, there is a need to carry out changes to the project. The Secretariat will then decide whether the change can be approved by the EUDP. This applies to changes in relation to the budget, financing, project participants, time schedule, project description, key employees at the project manager and at the project participants, etc. Use the request for changes form.
  6. When the project ends, you must submit a final report, final financial statements and a completion form to the EUDP Secretariat. You will have to use several fixed forms.

Timeline for an EUDP project
  • Announcement of call
  • Application is uploaded to the portal
  • Application is sent to experts evaluators and possibly Innovation Fund Denmark
  • Evaluations are sent in consultation with the parties
  • ≈ 3 months:
  • Consultation responses are submitted
  • The application and consultation responses are evaluated by the EUDP secretariat
  • The secretariat puts forward projects to the board
  •  The board makes a decision on commitment of funding or rejection
  • ≈ 6 months:
  • The applicant accepts or declines the commitment of funding
  • Applicant invites to kickoff meeting
  • If the project involves several companies, a collaboration agreement must be submitted to EUDP
  • Submission of collaboration agreement
  • Annually in June:
  • Submission of annual report
  • At project completion:
  • Submission of final report and completion form
  • Submission of final accounts
  • After completing the project:
  • EUDP publishes the results
